This article is intended to convey the basic and most common functions of webmail. While we strive to cover everything, you can find more detailed instructions in other sections of our knowledgebase articles atnames.co.uk/support

Our new webmail interface offers a powerful online alternative to using a traditional email client on your local computer such as Microsoft Outlook and Mac Mail. This manual offers some help on the basic functions of the Namesco webmail setup.

To log in to webmail, navigate tohttp://webmail.names.co.uk– Here you need to enter your mailbox name/username and the password set for the mailbox.

After logging in, you will see your account's inbox, which looks like the screenshot below:

To read an email from here, you can either double click on the email you want to read, which will bring it up in full screen mode, or you can activate the preview window by selectingWebMail - The Basics - Support Center - names.co.uk (3)icon, this is located at the bottom right of the screen. You can click this arrow again at any time to hide the preview window.

When the preview pane is enabled (as shown below), a single click on any of your listed emails will reveal the full content in the lower portion of the screen - the preview pane. You can use the slider to enlarge or reduce the preview window:

By clicking the icon shown below you can open one or more emails in new windows on your computer. The windows remain open even if you log out of webmail, but you will be prompted to log in again if you try to reply from one of these windows.

Compose a new email

To start composing an email, select the compose icon as shown in the image below:

Now that you've clicked the compose icon, you should see a screen like this:

The icons highlighted from left to right are Send, Save, Spell Check, Attach File, Insert Signature, Insert Predicted Answer.

As you would normally expect, at the top you have the text formatting tools you use to compose your email. If you can't see these, you may need to click Editor Type and select HTML instead of Plain Text. Once you've done that, the text formatting toolbar will appear.

The text formatting toolbar, located above the area where you type your message, works exactly as you would find it in Microsoft Outlook or any of your typical Microsoft Office product interfaces.

The recipient field can be filled in manually, or you can use the Contacts column on the left to add recipients from your list of saved contacts. First select the group of contacts you want to target, e.g. B. Personal Addresses, and then double-click the contact or contacts you want to send the email to. Please see the Address Book section later in this article to find out how best to use the Contacts section.

When you're done writing your message, you can use Send to send the message immediately, or Save to move your message to your Drafts folder if you'd rather finish it or just send it at a later time would like. If you want to check the spelling of your email beforehand, the "Spell" option will help you.

Edit an email

- If you have an email open in your preview window or in full screen mode, the "More" menu option at the top of the page gives you an additional set of options that you may want to use in relation to that particular email.

You can:

  • "Print this message" so you have a paper copy to keep in your office.
  • Download the e-mail so that you can store it on your computer and access it as an electronic copy, even if the e-mail has long since been deleted in Webmail.
  • "Edit as new" allows you to compose a new email by copying the received email in the course of your communication.
  • "View Source" provides the technical details of the email, including timestamps and message headers.
  • "Move to" moves the message from your inbox to another specified folder.
  • Copy To keeps a copy of the message in your inbox, but also saves a copy of the message to another specified folder.
  • "Open in new window" does what it says.
  • "Save as Event" allows you to schedule any event related to the email in the calendar area in Webmail.

In the inbox view you will see the shortcuts icon, if you click on it you will see a list of keyboard shortcuts. By pressing any of the characters listed, you can access other parts of webmail or action commands without moving or even touching your mouse, once you become familiar with them, even just the most commonly used ones, it becomes one another way to work faster.

In your webmail inbox, when you click on an email in your inbox, you can use the up and down arrows on your keyboard to jump from one email to the next very quickly. If you prefer to read your e-mails in full-screen mode, you can use the on-screen arrow keys to scroll through your messages. Just click on it with the mouse.

You can now use the up and down arrows on your keyboard to quickly switch between emails. Press the Delete key on your keyboard to remove unwanted emails. Hold down the CTRL key on your keyboard (PC) or CMD (if using a Mac) and now press the up or down arrows on your keyboard will select multiple selected emails, pressing Delete on your keyboard or in Webmail removes them all.

Using the address book

Within webmail, you can create a personal address list and share a global address list that is available to all other users of webmail under your domain name.

To add a contact to the address book, first select the address book icon from the menu at the top right of Webmail, as shown below.

On the next screen you will see that there are two columns, the leftmost one titled Groups, the column to the right of it titled Contacts and at the bottom of each a + symbol. In the left column you can create a new group with the + symbol, by first marking Personal addresses or Global addresses, determine whether the group you want to create should contain contacts that are only visible to you (Personal addresses). or by all other users from webmail to your domain names (global addresses), depending on which of the two group types you have selected, determines the 'parent group' of the subsequently newly created group and is displayed below this group as new contacts are added.

Similarly, the + icon at the bottom of the Contacts column adds a new email contact to the group you've selected at the time.

When you press the + symbol, the Add contact column appears. Here you can add the details of your email contacts including contact information, their personal information like gender and birthday. There is also a note option. So if you need to log additional information about the email contact, even add a picture of them, you can do that here.

If you need to edit a contact's details, select the group your contact is in in the Groups column, click the contact you want to edit in the Contacts column, and click the Edit contact button.

If you want to delete a contact, select the group your contact exists in from the Groups column, select the contact you want to delete from the Contacts column and click the TRASH ICON button.

In this form you can add as much or as little information about the contact as you like. If you are happy with the information (which you can change at any time) select "Save" or if you change your mind select "Cancel".

Once you have saved contacts in the address book, you can easily access this contact list on the left side of Webmail when composing emails. Just double click on one or more of them.

To add more recipients to your email, you can select "Add CC" to "Copy" recipients or "Add BCC" to "Blind Carbon Copy" recipients, the option that allows you to send emails to more people in of an email in a way that cannot be seen by the primary recipient. If you add a "reply-to" email address, recipients' replies to your email will be redirected to a preferred email address instead of returning to yourself if you choose. "Add follow-up" allows you to manage a group of recipients for further communication along that particular email trail.

Adding a signature

To create a signature that will appear in the footer of each of your emails in Webmail, first select "Settings" at the top right of the screen.

You can add a signature to your webmail account, which you can then attach or remove from any email you send. The signature accepts HTML code, so you can add links and even images to your signature.

To add a signature, first select "Identities" from the leftmost column of Webmail, to the right of that select the email address you want this signature to appear on (yes, you can use multiple email addresses with send different signatures respectively). , then click in the "Signature" field and add your desired text here in your desired format before clicking "Save" to ensure the signature is preserved.

By default, an HTML signature isn't enabled, but you may want your company logo to appear in your signature and also include a link to your website. To do this, make sure you have checked the "HTML Signature" box under the signature field, note that if you already have text in your signature field, you should copy this text, as by checking the "HTML Signature" field its Content can be deleted. You will then see a screen like this where you can create your HTML signature:
